WordPressForms + WhatsApp
WordPress Forms Messaging Plugin v1.0.3

Turn WordPress Form Submissions into WhatsApp Workflows

When a visitor submits a contact, enquiry, quotation, registration or lead form, WebWMS2U can automatically send a WhatsApp message to the visitor, the website administrator, or both — with different rules for different forms.

A Form Can Do More Than Send an Email

Use the information already entered into your WordPress form — such as name, email, phone number, product interest or service requested — to trigger useful WhatsApp communication immediately after submission.

Plugin Features

Designed for websites that use several forms for different purposes and need different WhatsApp actions for each one.

Multiple Form Rules

Create independent rules for your contact form, quotation form, registration form, download form and other lead forms.

Visitor & Admin

Send to the visitor, the site administrator, or both. Each recipient can receive a different message.

Text or Template

Use editable text messages or saved WebWMS2U templates with numbered parameter mapping.

Template Media

If your saved WebWMS2U template contains an image, video, audio file or document, the existing API can deliver it with the template.

Flexible Field Mapping

Tell each rule which submitted field contains the visitor's phone, name and email, then use other form fields as placeholders.

Optional Consent Check

Require a configured form field to contain an accepted consent value before the rule sends any message.

Phone Normalisation

Convert local numbers using your default country code. For Malaysia, set the default code to 60.

Logs & Duplicate Protection

Use API idempotency and view masked diagnostic logs without storing the full message body in the plugin log.

Supported Form Plugins

Version 1.0.0 includes adapters for several widely used WordPress form systems, plus a developer hook for custom integrations.

Form systemRule identifierTypical field key
Contact Form 7Form IDyour-name, your-email, your-phone

Gravity FormsForm IDNumeric field ID or normalized field label
Elementor Pro FormsForm NameElementor field ID

Form-plugin compatibility depends on the form provider continuing to expose its documented submission hooks. Test the plugin with the specific form versions installed on your WordPress site before production use.

Practical Ways to Use It

Send an acknowledgement to the prospect and alert the sales team with the prospect's submitted contact details.

Property Leads

Send listing information to the prospect and a new-lead alert to the responsible property agent.

Courses & Tuition

Send course information or registration details after a prospect submits an enquiry form.

Registration & Events

Send a confirmation or information pack after a registration form is submitted, while also notifying the organiser.

Personal WhatsApp, Meta Cloud or Coexistence

Personal WhatsApp

Use a phone connected to WebWMS2U through a Personal connection.

  • Text mode is suitable for normal notifications.
  • Saved WebWMS2U personal templates can also be used.
  • Saved templates may include media.
  • The connected device must remain available.

Meta Cloud API / Coexistence

Use an official Meta Cloud number or a WhatsApp Business App number connected through Coexistence.

  • Use an approved template when no WhatsApp customer-service window is open.
  • A website form submission by itself does not open that WhatsApp service window.
  • Saved WebWMS2U Meta templates can be selected by template ID.
  • Coexistence follows the same official Meta messaging rules.
Recommended for visitor messages: if you use Meta Cloud or Coexistence to send immediately after a website form submission, configure an approved template rather than assuming a free-form text message is permitted.

Installation & Configuration

1. Prepare WebWMS2U

Create or select your Personal, Meta Cloud or Coexistence connection and create an API key for that connection.

2. Install the WordPress plugin

Download webwms2u-forms-messaging.zip. In WordPress, go to Plugins > Add New > Upload Plugin, install and activate it.

3. Enter the connection settings

Open Settings > WebWMS2U Forms. Enter the API key, default administrator WhatsApp number and country code. Malaysia uses 60.

4. Verify the API key and load templates

Click Verify API Key & Load Templates. The plugin detects whether the key belongs to Personal WhatsApp or Meta Cloud / Coexistence and caches the available saved templates.

5. Create a rule for each form

Open the Rules tab and choose Add Rule. Give the rule a descriptive name, select the form provider, and enter the form ID or form name used by that provider. Each form can have its own independent rule, so a contact form, quotation form and brochure-download form can all perform different actions.

6. Map the visitor fields

Enter the submitted field keys that contain the visitor's phone number, name and email address. The phone field is required when sending to the visitor. If you are unsure of a field key, make a test submission and use the detected field-key information shown by the plugin.

7. Choose who receives a message

Enable Visitor, Administrator, or both. Visitor messages are sent to the mapped phone field. Administrator messages use the default administrator number from General Settings unless you enter a different administrator number for that rule.

8. Choose Text or Template mode

Configure visitor and administrator messages independently. In Text mode, type the message and use form placeholders. In Template mode, select a saved WebWMS2U template and map any numbered template parameters. For Meta Cloud or Coexistence visitor messages outside an open service window, use an approved Meta template.

9. Optional consent requirement

If your form includes a WhatsApp consent checkbox, configure its field key and accepted value in the rule. The plugin will only perform the configured messaging action when that consent condition is satisfied. Your website operator remains responsible for presenting suitable consent wording and privacy information.

10. Save and test the rule

Save the rule, submit the actual form on a staging or test page, and check Settings > WebWMS2U Forms > Logs. Confirm that the correct rule matched, the intended recipient was selected and WebWMS2U accepted the request before enabling the workflow on a production form.

Messages, Templates & Form Placeholders

Text mode

Create a normal WhatsApp message and insert values from the submitted form.

Hi {{name}}, thank you for contacting {{site_name}}. We have received your enquiry.

Template mode

Choose a saved WebWMS2U template ID and map numbered template variables to form values.

{"1":"{{name}}","2":"{{email}}","3":"{{field:service}}"}

Built-in placeholders

{{name}}{{email}}{{phone}}{{form_id}}{{form_name}}{{site_name}}{{site_url}}{{submitted_at}}{{field:field_key}}

Consent & Privacy

The rule can optionally require a consent field such as whatsapp_consent to contain an accepted value before messages are sent.

The plugin's own diagnostic log stores a masked recipient number and API result instead of the full message body. Your form plugin may separately store the actual submission according to its own configuration.

Background Delivery

By default, the plugin schedules WebWMS2U API calls through WordPress WP-Cron so the visitor does not need to wait for the WhatsApp API request before seeing the form confirmation.

If background scheduling is unavailable, the plugin can fall back to an immediate API request.

Frequently Asked Questions

Yes. You can create multiple rules and match each one to a provider and form ID or form name. A contact form can send one message while a quotation or brochure form sends something completely different.

Yes. Visitor and administrator sends are configured independently. One can use Text mode while the other uses a saved template.

Yes, when the selected saved WebWMS2U template contains supported media. The existing WebWMS2U send API resolves the saved template and includes its media.

No. This is a separate WordPress forms integration. It is intended for enquiry, lead, registration and other form submissions even when WooCommerce is not installed.

Queued means WebWMS2U accepted the API request and placed it into its messaging queue. Final delivery still depends on the connection, recipient and applicable WhatsApp rules.
